Guidelines for a positive and productive learning environment

Purchasing for Another Person, Gifts, and Group Purchases

If you need to purchase a course or program on behalf of another person, or for a group, you may do so through our Group Purchase page. This option allows you to conveniently purchase one or more seats in any of our courses or programs. It is ideal for managers purchasing training for team members or for individuals buying a course as a gift.

After Your Purchase

  • Within 2 business days, our team will email you—using the email address provided at checkout—with a unique registration code (coupon code).
  • Each code will correspond to the course you purchased and will be valid for the exact number of seats included in your order.
  • Codes are valid for one (1) year from the date of purchase.
  • You are responsible for distributing the code to the intended learner(s).

Learner Registration Instructions

  • Each learner must create their own account on our platform.
  • At checkout, learners must enter the provided coupon code to apply their seat and reduce their cart total to $0.

Use and Limitations of Codes

  • Once a code is redeemed and the course has been opened or started, the code is considered used.
  • Refunds, exchanges, or course switches are not permitted after a course has been opened or started, regardless of how much content has been completed.

Private Group Purchase

Private group purchases are considered final. Once a purchase has been completed, no changes, substitutions, or modifications to the group roster or program selections can be made. We strongly recommend confirming learner participation and availability prior to finalizing your order.

If you have purchased programs or advanced programs for a group and one or more learners are unable to attend the designated program session, we will make every reasonable effort to provide an alternative option.

For programs, this may include moving the impacted learner(s) to an open enrollment session of the same modality, subject to availability.

Alternative arrangements are not guaranteed, and substitutions or changes outside these options may not be permitted.

Course Access

All webinars, courses, and programs have a set access period that begins on the date of purchase. Learners must complete the offering within the timeframe listed below. After the access period ends, the offering will no longer be available. Please plan to complete your learning within the allotted time. Live Programs with fidelity: 1 month from date of event

  1. Live event without fidelity: 2 weeks from date of event
  2. Webinar, course, program: 6 months from date of purchase
  3. Advanced: 28 week program duration

Certification Expiration

Program certificates expire three (3) years from the date of initial program completion.

For renewal, individuals must attest to using the most current manual and research, submit the renewal fee, and confirm their intent to remain listed in the Catalight registry. See our renewal page for more information.

Exams

At Catalight Academy, we believe in supporting learners every step of the way and adhering to the highest level of academic standards. To receive a certificate for a course in Academy, you must successfully pass a final exam. You are granted three attempts to successfully pass the exam.

Exam Format: This format allows you to plan your time accordingly to answer each question in the exam.

Passing: These passing requirements are designed to uphold the integrity of academic standards while promoting thorough preparation and active engagement among students.

  • Earn a passing score of 80% or higher.
  • You have three opportunities to attempt to pass the final exam.
  • If you do not pass the final exam after three attempts, you will not be eligible to receive a certificate. You may re-purchase the course and retake if desired.

Academic Honesty

At Catalight Academy we prioritize integrity, responsibility, and fairness in all academic endeavors. As part of our commitment to upholding academic standards and promoting a culture of honesty, you are expected to adhere to the following guidelines:

Exams:

  • You must take exams with sufficient time allocation, ensuring you have adequate opportunity to demonstrate your understanding and skills.
  • Exams must be completed independently, without assistance from unauthorized devices, sources, materials, or individuals.
  • Exams are closed book. You must rely solely on your own knowledge and understanding without access to external resources.

Integrity:

  • You are expected to uphold the highest standards of academic integrity, refraining from any form of cheating, plagiarism, or dishonest behavior.
  • Any form of academic dishonesty, including but not limited to cheating, plagiarism, collusion, or fabrication, will not be tolerated and may result in disciplinary action.

Accessibility

We are committed to fostering an inclusive learning environment. We strive to adhere to Web Content Accessibility Guidelines (WCAG) AA standards for accessibility. Additionally, we are open to making accommodations whenever feasible to promote inclusivity.

Accommodations

If you require accommodation, contact us before you begin a course. We will make every effort to accommodate your unique needs, however, please note that we cannot guarantee accommodation in all cases.

We can provide the following accommodations with documentation indicating the need for a reasonable accommodation, which may include:

  • Allow you to have a support person during the course or exam.
  • Allow you to use support audio or visual devices as needed.

Continuing Education Surveys

Continuing education surveys must be completed before continuing education or professional development credits are awarded.

  • You must complete surveys within seven days of completing an eligible course.
  • Surveys for courses conducted through the Academy platform will be located at the end of eligible courses.
  • Certificates for courses completed on the platform can be downloaded from your Catalight Academy account.

Certificates

We maintain records of completed certificates for seven years. We encourage you to keep your own personal records. Certificates are located in your account in Catalight Academy for easy downloading. If a copy of your certificate is needed after seven years, you can contact us to request one.

  • If you lose any license/certification that is a prerequisite for an Academy certificate, the Academy certificate becomes null and void.
  • If you violate the Academy Code of Conduct the certificate becomes null and void.
  • Catalight Academy reserves the right to recall or nullify a certificate if you violate any of Academy's policies, procedures, or code of conduct.
  • If a learner's license/certifications are reinstated, Academy certificate(s) will be reactivated.
  • It is up to you to manage this and report any changes to Catalight Academy.

Code of Conduct & Ethics

You are required to agree to and follow the Academy Code of Conduct. Violations may result in suspension or ban from the platform and/or loss of earned certificates.

Complaints

We value your feedback and aim to address concerns promptly. If you have a complaint contact us and we will acknowledge receipt within three business days and promptly work towards a resolution.

Refunds

All purchases are considered final, and refunds are not issued. However, if Catalight Academy initiates a course modification or cancellation, a refund will be provided.

Account Activation

Accounts that have no activity for 60 consecutive days will be placed into an inactive status. If your account has been deactivated and you would like to regain access, please contact our support team to request reactivation.

All previously purchased courses and any earned certifications will remain associated with your account and will be accessible once your account is reactivated.

Enrollment & Registration

To maintain the integrity of our learning environment, all learners must enroll using their own personal information and individual account. You may not create an account on behalf of another person, share accounts, or use false or duplicate information.

In-network providers have a two (2) business day review period for account validation. During this time, complementary access to certain courses or programs may be temporarily restricted until verification is complete. Refunds will not be issued to any purchases that take place before the account veritifcation.

Learners are responsible for ensuring that all enrollment details—including email address and course selection—are accurate at the time of purchase or registration. Catalight Academy is not responsible for delays or access issues resulting from incorrect or incomplete information provided at checkout.

Attendance Policy for Live Events

Attendance is required for all live programs offering continuing education or professional development credit. Learners must be actively present for at least fifty (50) minutes of every instructional hour to receive credit.

Some programs require completion of official sign-in and sign-out forms. Learners are responsible for following all attendance procedures as instructed. Failure to complete required attendance verification may result in the learner being marked absent and ineligible for continuing education credit or program completion.

Learners who do not meet attendance requirements will not receive credit, and no refunds or make-up sessions are provided unless otherwise stated for a specific program.

Intellectual Property & Content Use

All materials provided through Catalight Academy—including slides, handouts, videos, manuals, worksheets, recordings, and other instructional content—are the property of Catalight and its content developers.

Learners may not:

  • Record, copy, reproduce, or distribute course content in any form
  • Share access to course materials with individuals who are not enrolled
  • Publish, post, or disseminate content on external platforms
  • Use course materials to train others, create derivative works, or deliver instruction without express written permission

Recording of live sessions is strictly prohibited. Screenshots, screen captures, or downloads beyond what is intentionally provided within the platform are also prohibited.

Unauthorized use or distribution of content may result in removal from the program, loss of certificates, and other actions deemed appropriate by Catalight Academy.

Program Changes & Cancellations (Provider Initiated)

Catalight Academy reserves the right to modify, reschedule, or cancel programs, courses, or sessions when necessary. This may include changes to:

  • Dates or times
  • Instructors
  • Delivery modality
  • Curriculum updates or enhancements

If a program is significantly modified or canceled by Catalight Academy, affected learners will be notified promptly using the email address associated with their account. When Catalight initiates a cancellation, a refund or alternative arrangement will be provided.

Minor modifications—such as instructor substitutions or schedule adjustments—do not qualify for refunds.

Advanced Certification Deferral

Participants who experience extenuating circumstances that prevent them from engaging in an Advanced Certification Program for which they have registered may request a deferral. All deferral requests must be submitted within three (3) weeks of the original course start date.

Upon approval of the deferral request, the participant will be issued a deferral code permitting enrollment in the next available learning cohort. The deferral code will remain valid for a period of three (3) months from the date of issuance.

Deferrals are exclusively available for Advanced Certification Programs and are not applicable to any other learning offerings.

Learner Support & Response Times

We are committed to providing timely and helpful support to all learners. Our support team responds to inquiries within two (2) business days. Response times may vary during periods of increased volume, holidays, or system outages.

To receive the fastest support, learners should provide:

  • Full name
  • Course/program title
  • A detailed description of the issue
  • Any relevant screenshots

Support requests are handled in the order they are received.

Program Withdrawal

If you choose to withdraw from a course or program, you must submit the Program Withdrawal Form. Withdrawals are not processed through email, verbal request, or third-party communication. A withdrawal is considered complete only once the form has been received by the Academy team.

All purchases are final. No refunds, credits, transfers, or extensions are issued for withdrawn learners under any circumstances.

Upon withdrawal:

  • Access to the course or program will end.
  • All progress, submitted work, and partial completions will be permanently removed and cannot be reinstated.
  • You will not be eligible to receive continuing education credit or a certificate.

Learners who wish to return in the future may re-enroll by purchasing a new seat. Prior progress or attempts cannot be carried over or restored.

Misconduct & Dismissal

Catalight Academy is committed to maintaining a safe, respectful, and professional learning environment. Learners are expected to follow all Academy policies, program guidelines, and the Catalight Academy Code of Conduct.

Misconduct may include, but is not limited to:

  • Disruptive or disrespectful behavior
  • Harassment, discrimination, or intimidation
  • Sharing or misusing confidential information
  • Recording or distributing course content
  • Using unauthorized materials during assessments
  • Violating intellectual property policies
  • Falsifying attendance or identity
  • Interfering with instructors, facilitators, or other learners

Catalight Academy reserves the right to remove a learner from any program or platform area if misconduct occurs. Removal may result in:

  • Loss of access to the course
  • Loss of eligibility for certificates or CE credit
  • Suspension or permanent ban from Catalight Academy
  • Nullification or recall of previously earned certificates
  • No refund or credit will be issued

Decisions regarding dismissal are final.

Recording Submission Disclaimer

As part of this program, you are required to submit a recorded session demonstrating your implementation of the protocol with a client. These recordings will be reviewed and assessed for fidelity by authorized Catalight staff.

Your Responsibilities

  • You are solely responsible for securing an appropriate participant for your recorded session. This may be an actual client or a confederate (a non-client acting as a participant).
  • You are solely responsible for obtaining all required permissions, authorizations, consents, and releases from the participant (and/or their legal guardian, if applicable) that authorize the recording and allow Catalight to review it as part of your program requirements. By submitting your video, you attest that all required permissions, authorizations, consents, and approvals have been obtained.
  • You must ensure that all required documentation is completed before submitting your recording.

Submission Requirements

  • Catalight uses a secure internal system to receive and review recordings.
  • You may submit your recording either as:
    • An uploaded file, or
    • A shareable link (e.g., Box, Dropbox, YouTube, Google Drive).
  • If you submit a link, it must be publicly viewable (i.e., not restricted to a specific individual or requiring a login to access).

Important Notice

  • If you choose to use an external file-sharing platform, you are responsible for ensuring that the link is accessible, active, and does not require special permissions.
  • Catalight is not responsible for any privacy, security, accessibility, or technical issues that arise from using external or non-secure platforms.
  • Catalight does not obtain or verify permissions on your behalf and assumes no liability for any failure to secure proper approvals.
  • Submissions that cannot be accessed will be considered incomplete and may delay your evaluation.

Translation Requirement for Video Submissions

If you submit a video that requires translation, you must include accurate English closed captioning and/or an English transcript with your submission. These materials will be used as part of the review process.

Please note:

  • Reviewers will evaluate your submission based solely on the translations, captions, or transcripts you provide.
  • If the translations are inaccurate, incomplete, or missing, your submission may be marked as failed or incomplete.

Use of Registry Data

By accessing the Registry, you agree that the information is provided for informational purposes only. You may not contact, solicit, market to, or otherwise engage Registry members using this data. You further agree that the data may not be sold, shared, licensed, or commercialized in any form. Any use of the data outside of these limitations is strictly prohibited.
